Easy Invoice vs. Monday's Built-In Invoice Templates: Which Should You Use?

Monday.com ships invoice templates as part of its Work OS — a Customers board, an Invoices board, and a few automations linking them. For teams that just need a tracker of who owes us money, that’s fine. What you get from monday’s built-in templates
Monday.com’s invoice templates are essentially board structures with sensible columns:
- An Invoices board with status, amount, customer, and due-date columns.
- A Customers board linked to the Invoices board.
- A few automations for status changes (“when status changes to Overdue, notify owner”).
This is a great way to track invoices. You can see what’s outstanding, who owes what, when the due date is. For a small services business that already sends invoices manually from another tool and just wants visibility, it’s enough.
Where the template falls short
The template doesn’t try to do the thing an invoicing tool is supposed to do: produce a professional document to send to a customer. Specifically, the template has:
- No document editor. There’s no place to lay out an invoice that looks like an invoice — just board columns.
- No PDF generation. You can’t click a button and get a branded PDF to send to a customer.
- No share link. There’s no public URL the customer can open to view the invoice.
- No line-item table. “Amount” is one column, not a table of products, quantities, rates, and tax.
- No tax handling. No tax rate, no tax label (GST / VAT / Tax), no per-line tax control.
- No numbering. No INV-0001 → INV-0002 sequence with a customisable prefix.
- No quote-to-invoice workflow. Quotes aren’t part of the template at all.
You can build some of this manually with formula columns and integrations. But you’ll spend weeks of weekend time on it and end up with something fragile that breaks the next time monday updates its template system.

When the template is the right call
You probably don’t need Easy Invoice if:
- You don’t actually send invoices from monday — your accountant does it in Xero or QuickBooks and you just track status here.
- Your invoices are simple enough that a single amount column is all the line-item detail you need.
- You’re issuing 1–2 invoices a year and the friction doesn’t matter.
When Easy Invoice is the right call
You probably do want Easy Invoice if:
- You issue more than a handful of invoices a month and want them to look professional.
- You quote first, then invoice, and want the quote-to-invoice handoff to be one click instead of re-typing.
- You want to send the invoice from your phone after finishing a job, not when you next sit at your desk.
- Your invoices need tax handling (per-line GST/VAT/Tax), multi-currency, or custom numbering.
- You want your customers to receive a real PDF or a public link, not an email with a board screenshot attached.
