This article walks through creating an invoice from a blank document. If you’d rather start from an approved quote, see converting a quote to an invoice instead.
Step 1 — Open the Invoices board
Open the monday.com board with your Easy Invoice Custom Object view and switch to the Invoices board (one of the three boards the workspace template creates — see getting started if you haven’t installed the template yet).
Step 2 — New Invoice
Click New Invoice in the sidebar. Easy Invoice creates a blank invoice with the next number in your sequence (for example INV-0001) and opens it in the document editor.
The number prefix and starting number are both configurable from Settings — see the customer and product board setup for the data side, and Settings for prefixes.

Step 3 — BILL TO
Start typing in the BILL TO field. The search reaches into your Customers board. Select a result and the customer’s name, email, phone, and billing address all auto-fill.
One-off clients. If a customer isn’t on the board, you can still type the details directly into the fields — the invoice doesn’t require the customer to exist on the Customers board. That said, adding them once saves typing on every future invoice.
Step 4 — Add line items
Click the + button below the line-items table to add a row. In the Description field, start typing — the search reaches into your Items board and offers matches. Pick a product to auto-fill description, rate, and unit.
Adjust Rate, Qty, and the per-line Tax checkbox as needed. The amount column and the totals at the bottom of the document recalculate as you type.
You can mix taxable and non-taxable lines on the same invoice — uncheck Tax on any line you don’t want included in the tax subtotal.
Step 5 — Terms and Due Date
Set Terms to Net 7, Net 14, Net 30, or Custom. The Due Date updates automatically based on the selected terms — you can override it manually by clicking the date picker.
Step 6 — Download or share
Once the invoice looks right:
- PDF in the toolbar generates the PDF in your browser (no server round-trip).
- Link publishes a public URL your client can open in any browser, view, and download the PDF themselves. The link is the same one used by Easy Invoice on mobile.
See sharing an invoice with a public link for details on the share flow.
